Privacy Policy

This policy covers the Vilonia Peewee Basketball website (viloniapeeweebasketball.org) and mobile app, operated by Vilonia Peewee Basketball for the purpose of running youth basketball registration, teams, schedules, and communication for our league and the Central Arkansas Peewee Basketball Conference.

Information We Collect

We collect information directly from parents and guardians who create an account and register a player:

• Parent/guardian account: name, email address, phone number, and mailing address.
• Player (child) information: first and last name, date of birth, gender, grade, relationship to the registering guardian, emergency contact name and phone number, and any medical notes you choose to provide (e.g. allergies, asthma, conditions coaches should be aware of).
• Payment information: registration fees are processed by Stripe. We do not collect or store your card number — Stripe handles payment directly, and we only keep a record of the amount paid and Stripe's transaction reference.
• Photos: as described in our registration waiver, the league may take and use photos of players at games and events for the website, social media, and print materials.
• Mobile push notifications: if you use our mobile app and allow notifications, we store a device push token so we can send you schedule changes, announcements, and team updates. You can disable this at any time in your account settings or your device's notification settings.

How We Use This Information

• To register players, place them on a team, and run the season (standings, schedules, draft).
• To let coaches see the information they need to safely coach your player, including emergency contact details and medical notes.
• To process registration payments and send payment receipts.
• To send season updates, schedule changes, and league announcements by email and (if enabled) push notification.
• To respond to questions or requests you send to the league.

We do not sell your information, and we do not use it for advertising.

Who We Share It With

• Stripe — processes registration payments. Stripe's own privacy policy governs how it handles your payment details.
• Resend — delivers transactional emails (receipts, verification, league announcements) on our behalf.
• Coaches — your player's assigned coach can see their roster, including emergency contact and medical notes, for safety purposes during practices and games.
• Central Arkansas Peewee Basketball Conference — schedule and standings information is shared across conference member towns to run inter-town games.

We do not share your information with any other third party for their own marketing purposes.

Children's Information

Our app is used by parents and guardians to register their children for youth basketball — children do not create their own accounts or submit their own information. All player information is entered by a parent or guardian, who controls and can update or remove it at any time through their account.

Public Visibility

Team rosters, schedules, and standings are visible to the public on our website and app so families can follow the season. Publicly visible rosters show a player's first name and last initial only — full last names, contact information, and medical notes are never shown publicly, and are only visible to league administrators and the player's own coach.

Data Retention

We keep registration and season records for league administration and historical records (such as prior team rosters used to help build future seasons). You can ask us to delete your account and player information at any time by contacting us below, subject to records we're required to keep for payment and tax purposes.

Your Choices

• You can review, edit, or remove your players' information from your account at any time (some details lock after a registration is paid, to keep rosters accurate — contact us to make changes in that case).
• You can turn off push notifications in the app or your device settings.
• You can ask us to delete your account by emailing us below.

Security

We use industry-standard safeguards to protect your information, including encrypted connections (HTTPS) and secure password handling. No online service can guarantee absolute security, but we work to protect your data appropriately for a youth sports league.

Changes to This Policy

If we make material changes to this policy, we'll update the date at the top of this page and, where appropriate, notify registered families.
